So You Want to Make a Level Change?
They sound simple, but level changes require some special attention

For the last year or so I have been reviewing all of the level changes that come to NCCAP. The majority of changes are from Activity Director Provisionally Certified (ADPC) to Activity Director (ADC), but there are a fair amount of people changing at other levels, too. Unfortunately, I have to send over 50% of the applications back for more information, and this often makes people late for their renewals. Here are a few tips to help you with the process.

1) When filling out the form, it is only necessary to fill out the sections that are needed for the change. For instance, if the BEC, AMC and 30 CEs on the ADPC application were completed, only the Academic and the Experience Sections need to be completed. If an official transcript was supplied for the college credits, it only needs to be sent again if there are additional credits being used. Any time college credits are used, whether for the Academic portion or for conversion to CEs, an official transcript is required — NO GRADE REPORTS!

2) When the level change is combined with a renewal, the 30 (or 40) CEs are ALWAYS required. When level changing from AAC to ADC or from ADC to ACC, remember that an additional 10 CEs are needed.

3) Completely fill out the first page of the application, including the date! This will let the reviewer know exactly what you have completed and what you want. The same thing goes for any section of the application that is needed for the level change. It you are adding experience, include only the additional hours and locations.

4) When changing to ACC from ADC, verification of consultation hours is needed. The most common problems I see are:

a. Of the 200 required hours, only 160 can come from supervising a staff of 5 or more, and these are accrued at a rate if 6 hours per month. The other 40 hours must be from outside your facility.

b. Class or seminar instruction needs a letter of verification from the sponsor or copies of the evaluations from the students. A copy of the certificate is not acceptable, by itself.

c. Consultation to other facilities or organizations needs the exact number of hours verified by the Administrator on official letterhead, along with a description of the services provided.

d. When publications are used, include a copy of the issue your article is in. Remember, only state & national publications are eligible. Examples of eligible publication sources include your state newsletter, the NAAP and NCCAP newsletters and ACTIVEPro.Net (http://www.active pro.net).

5) Make sure the application is signed and notarized.

6) Write legibly! If your handwriting is difficult to read, try typing or have someone else fill it out. You just need to sign it. If it helps, make a copy of the application and practice filling it out before you do the original.

7) Read the Standards carefully. Most of the information in this article is in the Standards.
